Privacy Policy

Effective Date: April 29, 2025

WeBill LLC (“WeBill,” “we,” “us,” or “our”) is committed to protecting the privacy and security of personal information collected through our website (webillhealth.com). This Privacy Policy explains how we collect, use, disclose, and safeguard information, and it is designed to comply with applicable U.S. privacy and data protection laws. In particular, WeBill complies with industry privacy standards and legal requirements such as the California Consumer Privacy Act (CCPA) for California residents. We also follow principles aligned with the Health Insurance Portability and Accountability Act (HIPAA) to protect health-related data; however, please note that no protected health information (PHI) is collected or processed via this website (see “HIPAA and Protected Health Information” below).

Information We Collect

WeBill collects only the personal information you provide voluntarily when using our website. This includes:

  • Contact Forms: When you submit an inquiry through our contact or request-a-quote forms, we collect your name, email address, telephone number, company name, and any message or information you provide. We use this information solely to respond to your inquiry or request and to improve our services.
  • Newsletter and Email Sign-Ups: If you subscribe to our newsletter or marketing emails, we collect your name and email address to send you updates, news, or promotional materials. Subscriptions are optional and may be managed or canceled by you at any time (see “Email Marketing” below).
  • Automatic Site Usage Data: We collect certain usage information automatically via cookies and similar tracking technologies (see Cookies and Tracking Technologies below). This may include your IP address, browser type, operating system, and pages visited. We use this technical information to analyze website performance, improve user experience, and for security purposes.

We do not request or collect any sensitive personal health information, social security numbers, or payment information through our website. There is no login or account portal on webillhealth.com, and we do not collect medical records or PHI online.

How We Use Your Information

The information you provide is used for the following legitimate business purposes:

  • Responding to Inquiries: To communicate with you about your request, answer questions, or provide the services you inquire about (e.g., medical billing solutions).
  • Providing Services: To facilitate our business relationship if you become a client (note that clients provide additional data under separate agreements).
  • Newsletters and Marketing: To send you newsletters, updates, or promotional information about WeBill services, subject to your consent and opt-out rights.
  • Website Improvement and Security: To analyze website usage, diagnose technical issues, enhance our site and services, and protect against fraud or unauthorized activity.

At no time does WeBill use your personal information for purposes beyond those described here without your consent. Importantly, WeBill does not sell or share personal information with any third parties for their own marketing or commercial purposes. We may engage trusted service providers (such as hosting, email marketing, or analytics providers) to perform certain functions on our behalf, but these vendors are contractually bound to protect the data and to use it only as permitted by us.

Cookies and Tracking Technologies

Our website uses cookies and similar tracking technologies to enhance functionality and analyze traffic. Cookies are small text files stored on your device. We use:

  • Essential Cookies: Necessary for website operation (e.g., enabling form submissions or security).
  • Analytics Cookies: To track usage patterns (for example, through Google Analytics) so we can improve site content and performance.
  • Optional Functional Cookies: To remember your preferences (e.g., language settings) if you consent to their use.

You can control cookie preferences through your browser settings. If you choose to disable cookies, some site features may not work properly. We do not use cookies to collect sensitive personal data or track you across unrelated third-party sites for advertising.

Email Marketing and LinkedIn Outreach

WeBill may use your contact information to send marketing or informational emails (such as newsletters or service updates) if you have opted in. We comply with the U.S. CAN-SPAM Act and similar anti-spam laws: each marketing email will clearly identify WeBill as the sender and will include a visible option to unsubscribe. You may opt out of all marketing emails at any time by following the unsubscribe link in our emails or by contacting us directly (see Contact Us below).

WeBill representatives may also reach out to business contacts via professional networking sites (e.g., LinkedIn) for legitimate marketing or recruitment purposes. These communications will be limited to publicly available or voluntarily provided information (such as your professional contact details). If you do not wish to receive marketing messages via LinkedIn or other platforms, you may notify us, and we will honor your request.

Information Sharing

WeBill does not sell, rent, or lease your personal information to any third parties. We also do not share your personal data with outside companies for their independent marketing purposes. We may disclose your information only in the following limited circumstances:

  • Service Providers: We employ third-party vendors (such as website hosting providers, email services, or data analytics tools) to support our operations. These providers have access to personal information only as necessary to perform their services for us and are prohibited from using it for any other purpose.
  • Legal Compliance: We may disclose personal information if required by law (for example, in response to a court order, subpoena, or government investigation), or if we believe disclosure is necessary to protect our legal rights, investigate fraud, or ensure the safety of any person.

WeBill does not use your information for automated profiling or sell personal data as defined under U.S. privacy laws. We also do not “share” data under CCPA definitions (the sharing provisions of the CPRA), since we have not created business relationships to share data for targeted advertising.

Data Security and Retention

WeBill implements robust technical and organizational safeguards to protect your personal information. These measures include encryption of data in transit (e.g., HTTPS/SSL), secure access controls, network firewalls, and regular security assessments. Access to personal data is restricted to authorized personnel who need it to perform their duties. We also train our staff on privacy best practices and HIPAA security standards where applicable.

We retain your personal information only as long as necessary to fulfill the purposes outlined above or to comply with legal obligations. For example, we will keep contact form submissions and marketing consent records for as long as they are needed to manage our communications with you. When information is no longer required, we securely delete or anonymize it. Despite our safeguards, no security system is impenetrable; however, we strive to protect your information in accordance with industry standards and legal requirements.

Your Privacy Rights (CCPA and Other U.S. Laws)

To the extent applicable, U.S. consumers – and California residents in particular – have certain privacy rights regarding their personal information. In compliance with the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA), California residents may request:

  • Disclosure: The categories and specific pieces of personal data we have collected about you, and how it was used or shared.
  • Access: A copy of the personal information we have about you.
  • Deletion: That we delete your personal information from our records (except information we must keep for legitimate business purposes or legal compliance).
  • Correction: Updates or corrections to inaccurate personal information.
  • Opt-Out of Sale/Sharing: Although WeBill does not sell or share your information, California residents have the right to opt out of any future use of their personal data for sale or targeted advertising purposes.

Under California’s “Shine the Light” law and the CCPA/CPRA, you also have the right to know whether WeBill has disclosed your personal data to third parties for their direct marketing, and to opt out of such disclosures. WeBill currently does not share email addresses or personal data with third parties for their direct marketing, and we do not sell data.

You may exercise these rights by contacting us as described below. We will not discriminate against you for exercising your rights. Upon verified request, we will respond within the timeframes required by law (generally 45 days in California) and provide details of any personal information we maintain.

HIPAA and Protected Health Information (PHI)

WeBill acknowledges the importance of HIPAA standards for protecting health information. The HIPAA Privacy Rule establishes national standards for safeguarding “protected health information” and requires appropriate security safeguards to protect the privacy of PHI. While WeBill provides medical billing services to healthcare clients, we do not collect PHI through webillhealth.com. Our web forms and email communications do not ask for medical details, treatment information, or insurance data. We only process basic contact and business information on this site.

Nevertheless, WeBill adheres to HIPAA’s underlying principles of confidentiality, integrity, and security in all of our operations. Any PHI that WeBill handles in the course of providing services to healthcare clients (outside this site) is managed under strict HIPAA-compliant policies and safeguards. For website visitors, however, the data collected here is not considered PHI, and HIPAA’s notice and disclosure requirements do not apply to it.

No Patient or Provider Portals

WeBill’s website is strictly informational. There are no patient portals, patient access points, or healthcare provider login areas on webillhealth.com. Patients and providers cannot log in, view medical records, pay bills, or access personal account information through webillhealth.com. All data we collect is initiated by you (e.g., via contact forms) and is used only as described in this policy.

We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. The “Effective Date” at the top of the policy will indicate when it was last revised. Material changes will be posted on this page with the new date; in some cases, we may notify you by email or a website announcement. We encourage you to review this policy periodically.
